CAC Coordinator Role

The duties that must be included in the CAC Coordinator* job description(s) include:


Program Promotion
â–ª Ensure all resource materials remain current.
â–ª Hold information and open house events.
â–ª Display CAC materials at community events.
â–ª Connect with local organizations regarding learning needs and build relationships with stakeholders.
â–ª Communicate information regarding local organizations’ needs to the CAC Director and/or refer directly to college departments.
â–ª Arrange promotion of CAC programs through social media when appropriate.
â–ª Work with CAC staff** to prepare and implement a promotion plan for community-based programs being offered at the Centre.


Student Support
â–ª Provide information on programs and courses, and answer inquiries from all prospective and current students.
â–ª Assist learners with career and education planning.
â–ª Help learners find prerequisite courses.
â–ª Provide preliminary screening of all prospective students to direct them to the most relevant program, support or service and follow up with support as needed.
â–ª Assist students with application, registration and assessment.
â–ª Help students with information about financial aid, grants and scholarships.
â–ª Refer to college departments.
â–ª Invigilate/proctor examinations for area residents.
â–ª Refer to other agencies.
â–ª Maintain student confidentiality. Complete student information details in a CALP database.

 

Administration
â–ª Provide reports to the Post-secondary Committee. Support the Post-secondary Committee meeting arrangements, minutes etc.
â–ª Provide appropriate management of mail, courier services, files, correspondence, confidential documents and student information.
â–ª Record student inquiries for quarterly reports.
â–ª Ensure terms of the partnership agreement with CAC have been followed including financial, safety and community needs reporting.
â–ª Arrange room bookings and building access.


Program Support
â–ª Ensure timely distribution of applicant admission and assessment information.
â–ª Manage a current schedule of all video-conference and online courses, including room assignments.
â–ª Liaise with CAC staff on matters about programs and students.
â–ª Maintain student records and program information as per FOIP.
â–ª Orient students and instructors to facilities and equipment, including general health and safety requirements for CAC programs taking place in the learning centre.
â–ª Maintain equipment and troubleshoot technical issues.
â–ª Administer CAC learner surveys and enter summary information into a Google Form.
â–ª Determine classroom setup to facilitate learning activities for CAC programs taking place in the learning centre.


Engaging with CAC
â–ª Work with CAC staff and communicate information about activities within the Centre.
â–ª Respond to requests from CAC staff or joint venture colleges regarding program support or promotion.
â–ª Inform CAC staff of community events and other items of interest in their area.
â–ª Attend CAC training sessions and meetings.
â–ª Ensure that all CAC-requested reports are submitted and the Operational Guidelines are followed.

*the person hired by the CALP to perform the duties under the MOA with CAC is referred to as the CAC Coordinator.

** Persons working for CAC directly (ED, Financial Co-coordinator, Promotions Recruiter etc.) are referred to as CAC staff.
